Project Coordinator, stationery brand (REF1258)

  • £30,000 – £35,000 DOE
  • Nottingham

Join an award-winning stationery brand as a Project Coordinator. This highly creative and fast-growing business is looking for a process-driven, exceptionally organised individual to support the development of bespoke products from concept through to final delivery. You’ll work with an impressive client portfolio, including major retailers and cultural institutions -overseeing the production of high-end projects.

In this dynamic, hands-on role, you’ll report to the Project Manager and serve as a key liaison between clients, suppliers, and internal teams to ensure every project is delivered on time, on spec, and within budget. If you thrive in a fast-paced, creative environment and enjoy managing production projects end-to-end, this is a fantastic opportunity to make an impact.

Key responsibilities as Project Coordinator will include:

  • Managing bespoke client projects from concept to final delivery, often working on 10 -20 live projects at once.
  • Creating and maintaining clear project timelines, specifications, and budgets.
  • Leading communication between clients and internal teams to ensure requirements are understood and met, including coordination with warehousing and shipping.
  • Requesting and comparing quotes from UK and international print suppliers (including China), ensuring the best value, lead times, and quality.
  • Monitoring and signing off print samples and production proofs in line with brand and customer expectations.
  • Ensuring adherence to customer brand guidelines, working closely with Account Managers and Product Developers to align deliverables.
  • Supporting the wider team during peak seasons (e.g. Christmas), coordinating complex orders such as multi-product collections or premium gifting formats.
  • Playing an active role in the business’s sustainability journey and process improvements.
  • Contributing flexibly to ad hoc business needs – this is a small team, so a collaborative approach is key.

The ideal candidate will have the following qualities:

  • 3 years of experience in project / product coordination (or buying / product development) within the print, packaging, stationery, party or other printing related sectors.
  • Solid understanding of print production methods, terminology, and lead times -especially when dealing with overseas suppliers.
  • Highly organised with exceptional attention to detail, capable of juggling multiple live projects while keeping stakeholders updated.
  • Comfortable working with production software and systems, familiarity with Adobe Creative Cloud is a plus.
  • A natural collaborator who can also work independently and take ownership of their projects.

Diversity & Inclusion: ILMJ values diversity, equality and inclusion and encourages applicants from all backgrounds and identities.
