We are working with a fast-growing beauty and cosmetics company known for its innovative products and strong customer relationships. As the business continues to scale, our client is looking for a Sales Administrator to join a supportive and close-knit team. You will support the sales team by managing administrative tasks, processing orders, and ensuring smooth communication between customers, sales staff, and other departments. This is a varied and hands-on role suited to someone who is organised, proactive, and enjoys working as part of a team.
Key Responsibilities:
Order Processing
- Receive and process customer orders through internal systems (SAP).
- Verify product availability, pricing, and delivery schedules.
- Ensure orders are entered accurately and processed on time.
Customer Support
- Act as a point of contact for customer enquiries.
- Provide information about products and delivery timelines.
- Handle order updates, complaints, and returns.
Sales Team Support
- Assist sales representatives with administrative tasks.
- Arrange samples to be sent out on behalf of the sales team.
Database and Record Management
- Maintain customer databases and sales records.
- Update contact information, order histories, and account details.
Sales Reporting
- Prepare regular sales reports and performance summaries.
Coordination with Other Departments
- Work closely with logistics, finance, and NPD & Compliance.
- Coordinate deliveries and stock availability with warehouse teams.
- Ensure invoices and payments are processed correctly.
Documentation and Compliance
- Prepare invoices, packing lists, and delivery notes.
- Ensure sales documentation follows company policies and procedures.
- Maintain organised records for audits and reporting.
Managing Quotes and Pricing
- Create and send quotations to customers as advised by the sales manager.
- Update pricing lists and promotional offers.
- Ensure the sales team uses correct pricing and discounts.
About You:
- Strong administration and organisation skills.
- Experience within Sales Support, Sales Administration or Key Account Support would be ideal.
- Good communication and customer service skills.
- Excellent attention to detail.
- Proficient in Microsoft Excel; experience with SAP is beneficial but not essential.
- Comfortable working under pressure and managing multiple tasks.
- A team player who enjoys working in a fast-paced, growing business.
